The Problem

Rappahannock Petroleum Services has operated in the underground storage tank and fueling industry for four decades. Their client roster reads like a convenience store hall of fame — 7-Eleven, Wawa, Sheetz. At that scale, operational complexity doesn't just grow linearly. It compounds.

Fleet maintenance was tracked in spreadsheets. Service calls were logged in a combination of email threads and paper records. Construction project milestones lived in one tool, employee hours in another, and expense tracking in a third. Nothing talked to anything else. The people running the operation were spending as much time managing information as they were managing work.

The business needed a single platform that reflected the way it actually operated — not a generic SaaS product that required the business to conform to someone else's workflow.

The Solution

PrestigeSite Studio designed and built a full operations management platform from the ground up, purpose-built for RPS's specific workflows. Because the builder has firsthand experience managing fueling systems, field crews, and construction projects — the requirements conversation was grounded in operational reality, not abstract feature lists.

The platform covers five interconnected operational domains: fleet maintenance tracking with service history and alert scheduling; service call management from dispatch through completion; construction project management with milestone tracking and documentation; employee hour logging tied to specific jobs and cost centers; and expense tracking with categorization and reporting. Every module was built to reflect how RPS teams actually work — not how a software vendor assumes they should.

Built with Claude Code and deployed via Vercel, the platform is fast, secure, and accessible from any device in the field or the office. No installation, no complicated onboarding, no vendor support tickets — just a system that works.

The Result

The platform is currently in live internal use, with ongoing development driven by operational feedback from the RPS team. As new needs surface in the field, the system evolves to meet them — without the delays, vendor negotiations, or per-seat licensing fees that come with commercial software products.
